GENERAL DESCRIPTION
Under the direction of a higher classification, performs responsible intermediate level fiscal work dealing with specialized fiscal and clerical matters including maintenance of various accounts, bookkeeping records of transactions and cashier activities. Work may involve handling large volumes of cash. Incumbents in this classification exercise some independent judgment. Performs other work as requested.
ESSENTIAL WORK TASKS
Prepares and checks direct payment requisitions, purchase order requisitions, pay-in vouchers, and personnel action forms for accuracy; calculates payrolls and other deductions; reconciles personnel records and time sheets. Responds to inquiries whether in person, by telephone, or written correspondence; prepares correspondence; maintains related files. Verifies cashier beginning and ending balances, investigates and reconciles discrepancies; prepares bank deposits, documents, and reports on a daily, weekly, monthly, semiannual, and annual basis. Check vendor or contract prices of items listed on requisitions and computes extension by adding taxes and discounts. Posts total amounts and account numbers on forms processed in ledger or log; computes breakdown of charges among various accounts and post proper amounts to each account. Balances manual ledgers and logs against computer printouts, reporting any discrepancies; checks computer printed, payroll registers for accuracy; checks computer inventory listing against physical inventory report. Determines proper distribution of funds to various intergovernmental agencies.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of cash handling, form processing and record keeping procedures. Knowledge of basic double entry bookkeeping principles and practices and of their application to accounting transactions. Knowledge of basic mathematical procedures used to make fiscal calculations. Knowledge of modern office practices and procedures. Skill in the operation of modern office equipment such as, a typewriter, cash register, calculator, copier, computer terminal and related peripherals. Ability to handle money quickly, honestly and accurately. Ability to establish and maintain effective working relationships with other employees and the general public. Ability to communicate and follow written and oral directions. Ability to apply good work habits such as punctuality, reliability, preciseness, and dependability in order to effectively complete assigned tasks and contribute to the smooth operation of the department and division.
MINIMUM REQUIREMENTS
EDUCATION AND EXPERIENCE High school diploma, GED, or equivalent certificate of competency, and two years experience in bookkeeping, cashier or fiscal record keeping duties.
SUBSTITUTIONS Any equivalent combination of education and experience.
CERTIFICATIONS/LICENSES None.
OTHER JOB ASPECTS Selected positions may require passing a typing (45 words per minute), word processing, spreadsheet and/or other computer skill test(s).
SELECTIVE CERTIFICATION
Must have experience in reconciling and accounting for monies collected. Must be computer literate. Must pass a PC Skills exam. Please contact Human Resources Recruiting and Examination for testing dates and times.
In order to be considered as having the required selective certification experience, applicants must have at least 6 months full time experience performing the selective certification duties.
EXAMINATION
Entry Clerical Examination required. Written examinations are available on most Tuesdays, 8:00 -8:30 am, check-in. Thursdays, *12:00 - 12:30 pm, and Fridays, (for current openings only) 8:00 - 8:30 am check-in. Please call Human Resources Recruiting and Examination at 389-3132 to confirm testing dates and times. Test check-in is on a first come-first served basis. There are occasions where the test room is filled to capacity and applicants are asked to return on another day for testing.
*Where written exam volume is expected to be high, check-in of applicants will begin prior to noon in order to complete the check-in process prior to the required 12:30 cut-off time.
