GENERAL DESCRIPTION
Under the direction of a higher classification, performs beginning level routine clerical work involving limited complexity. Work involves a variety of clerical duties which follow well-established procedures. Employees of this classification may receive detailed instructions on new assignments. As experience is gained, regular and routine assignments are performed independently. Performs other work as requested.
ESSENTIAL WORK TASKS
Operates computer terminal or other related data entry equipment in the posting of documents.
Types correspondence, minutes, reports, memorandums, or other documents from copy, rough draft, or other sources. Opens, sorts, and distributes incoming mail; folds, stuffs and seals mail for outgoing delivery. Records incoming correspondence and materials; sorts and files correspondence and other documents by predetermined categories; records information and keeps records of the movement of file material. Acts as desk clerk or receptionist on routine matters; answers telephone, providing assistance, information and direction to visitors. Mends library books, binds magazines; prepares books for shipment to a bindery; checks book shipments when received, letters book spines and covers with shellac; puts labels on pockets and pockets in books. Operates modern specialized office equipment including word processor, calculator, copy machine, microfilmer, fax machine and other office equipment in the performance of clerical operations.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of modern office practices, procedures, and equipment. Knowledge of business English, spelling, and arithmetic. Skill in the use of computer terminals and related data entry equipment for selected positions Ability to maintain clerical records. Ability to type a variety of letters, records and reports using a computer. Ability to deal with the public with tact and courtesy.
Ability to establish and maintain effective working relationships with other employees and the general public. Ability to apply good work habits such as punctuality, reliability, preciseness, and dependability in order to effectively complete assigned tasks and contribute to the smooth operation of the department and division.
MINIMUM REQUIREMENTS
EDUCATION AND EXPERIENCE High school diploma, GED, or equivalent certificate of competency, and one year experience in clerical duties.
SUBSTITUTIONS Any equivalent combination of education and experience.
CERTIFICATIONS/LICENSES None.
OTHER JOB ASPECTS Selected positions may require passing a typing (40 words per minute), word processing, spreadsheet and/or other computer skill test(s).
EXAMINATION
Entry Clerical Examination required. Written examinations are available on most Tuesdays, 8:00 -8:30 am, check-in. Thursdays, *12:00 - 12:30 pm, and Fridays, (for current openings only) 8:00 - 8:30 am check-in. Please call Human Resources Recruiting and Examination at 389-3132 to confirm testing dates and times. Test check-in is on a first come-first served basis. There are occasions where the test room is filled to capacity and applicants are asked to return on another day for testing.
*Where written exam volume is expected to be high, check-in of applicants will begin prior to noon in order to complete the check-in process prior to the required 12:30 cut-off time.
